Most people don't realize that the spoken and written languages have no relationship to each other. A transcriptionist can't simply type the spoken word. The written document would be ungrammatical and might possibly make no sense at all. The spoken language must be translated into the written language without compromising the integrity of what was being spoken. This situation is all the more complicated when the person dictating is not a native English speaker. The grammar must be translated into proper, written English.

Many words sound alike, and this can be confusing to a transcriptionist. Make sure your service understands the context of your business. Cessation and sensation sound alike. Since they are both nouns, grammar check wouldn't alert you if one or the other was used. However, if the wrong word were used in your document, it could seriously impact the meaning of what you were saying. There could be legal and financial implications if the wrong word is used. Confirm that your service understands what you are trying to say.

One problem for transcription services is names and numbers. Did you say 13 or 30? Linda or Lynda? Make sure that you clearly dictate these items. They cannot be looked up in a dictionary because the meaning is up to the person who is dictating.

You must agree on a turnaround time before you start dictating. If you dictate regularly, you will be given a fast turnaround time; however, if you dictate sporadically, you can expect a sporadic turnaround time. This is because it is difficult to schedule time for sporadic dictation. Your provider might have a heavy schedule on the day you decide to dictate, and will get to your job when time allows.

Your business correspondence is often your first introduction to your customer base. In order to make the best possible first impression, make sure you hire a good-quality transcriptionist so that you will be proud of the message your documentation sends.
