Still, many companies hesitate over printing their own ID cards, but here are just few reasons why will be better off switching to in house printing, instead of outsourcing the task. For many, immediate accessibility is the deal maker when it comes to deciding whether or not to invest in printing equipment. A perfect example is a university or educational institution, which would normally have a sizable student body that requires ID cards very quickly. It may be a rule that ID must be worn at all times, in which case those who have lost their ID cards may lose out on valuable lessons and lectures if they are not permitted entry into the campus. Also, there can be any number of requests for replacement ID cards, which means the logistics involved in outsourcing the task would be unnecessarily complex. After all, it would make no sense to hire a company to make three or four ID cards one week and 12 the next week. So, in order to ensure that all students, and teaching staff also, are provided with ID cards and replacement ID cards as quickly as possible, the institution can print the cards itself. The level of control that a company can have in their distribution of ID cards is another aspect. This is particularly important where staff members are divided into a number of categories, each one of which has a different security level. A hospital, for example, may allow only a limited number of personnel access to the pharmacy and, as such, will want to ensure that only those individuals are issued with a card. The costs involved in hiring someone to do printing will always be greater than the cost of printing the cards in house. Even if the invoice received from the printing service providers is a good price, it makes better business sense to lower costs to their absolute minimum. It is, therefore, wiser to simply carry out the task without having to go to someone else. Of course, it does depend on the specific situation. A university is likely to need to issue thousands of new ID cards to newly enrolled students every year, but also update those owned by older students. That is a huge number, and while the printing bill will be high if the job be done out of house, it can be done efficiently. Nevertheless, keeping it in house, though time consuming, will save money in the long run. Meanwhile, a medium sized manufacturing business with stable employee figures, may opt to print their own card because of the relatively small number required. It is unlikely that the company to which the task might be outsourced would breach security by issuing entitlements to anyone who was not entitled, but some companies will simply feel more comfortable knowing they are in control of such matters. Of course, organisers of an individual event may simply hire an ID card printing service to print the relevant cards, particularly if an army of official security and general staff are required for the once off, or annual, event. After all, it does not always make sense to manage ID cards in-house, especially if the company in question is not in frequent need of new ID cards.
