A company s back office needs to be a well-oiled, smooth running machine that will not break down easily when glitches get in the way.

Layout and evaluate your process

Whether this is for your accounting or other back office process, having a procedure in place will ensure that everyone will stay on track on their duties. Evaluating your layout also helps you see potential problems or roadblocks in your process that could hamper work and pose additional concerns or security risks later on.

Keep in mind though that alongside having set procedures in place also requires ensuring that everyone is aware of these guidelines and that they are following it. Many companies may find that they have no problem in the process but in the enforcement of their process.

Automate what you can

Once you ve evaluated your process, you can then see if there are any time consuming tasks that can be automated. For example, in payroll, investing in a payroll accounting solution is a good buy. There are a lot of good software that are now becoming available for a multitude of tasks such as document management and encoding software that can be handy for a business.

Aside from streamlining your process even further, automating some tasks can help minimize errors as well.

Consider your assignment of duties

Many small companies do not have the luxury of being able to hire a lot of people to help in their business, but while this is true, remember that too many things happening all at once can increase the likelihood of mistakes and can contribute to backlog in work. Likewise, assigning too much tasks to one person or a team, can overwhelm them, and leave them harried and dissatisfied with their working conditions.

Do not overburden your staff with too much work, or propose impossible deadlines.

Look at people as an investment

Whether it s in hiring the best people for the job or providing training for your people, looking at your people as an investment will ultimately lead to better results. Hire performers who do not require too much supervision. Likewise place people whom you can entrust to run your back office efficiently in supervisory positions. Make sure as well that all your staff is trained in operating all your back office software.

Do a cost benefit analysis

After considering the steps above, determine the actual costs it would require per process, including software, people and training. Identify expensive areas in the process and compare its cost against the cost of outsourcing the process with an outsourcing provider. If you feel at any point above that you cannot sustain the cost required for the process, whether that s in software, people or training, then it may be better to approach a back office outsourcing company. This however, should not be seen as a way of avoiding the steps above since it is still vital that the above are considered even when outsourcing.

If you re back office is costing your company more that it should, do not hesitate to look at outsourcing as an option if this will ensure that your back office is running smoothly at minimal cost.
